The GrowthZone Software Onboarding Process

The Implementation Services team's role is to help your association onboard to GrowthZone. Think of us as your “behind the wheel” driving instructors. We will map out your journey, configure your database, and coach as you learn GrowthZone. During onboarding, there will be several lanes of activity occurring simultaneously. Each week you will have assignments while we work in the background. When meeting with your Implementation Coach, we want you to "drive" as much as possible (share your screen while using GrowthZone). Onboarding typically takes 90 to 120 days depending upon the package purchased, the amount of data and how quickly you want to proceed.

Key Setup: These are the steps of configuring GrowthZone to reflect your processes within the best practices of GrowthZone. These elements will ensure your organizational processes run efficiently and effectively.

Data Migration: This is the process of cleaning up and moving your data from your existing management system to GrowthZone AMS.  This process may involve data discovery, several iterations, and lead to your final, live database.

 

Learning & Coaching: Your implementation coach will guide you through each GrowthZone module with suggested prep-work including watching training videos, reading documentation and hands-on exercises.

 

Website Integration: If we are designing a new website for you, or using your existing, we will integrate key GrowthZone modules into your website.

Onboarding Frequently Asked Questions (FAQs)

  • What happens after accepting the purchase agreement? Typically, within 5 days, you will receive an email from your Implementation Coach, providing you with their calendar link so that you can schedule your Kickoff call.
  • When does the project timeframe (i.e. 90 days) start?  Your project timeframe begins on your Kickoff meeting.
  • How many hours a week do I need on average to commit to onboarding? It is typically between 2-4 hours per week.
  • How much time per week with our Implementation Coach do we get? You’ll have one hour per week on average with your Implementation Coach. They will be completing other tasks outside of this time.
  • What data does and doesn’t come over? Please refer to the Data Migration tab above for complete details on what is "in" and "out of scope" for data migrations.
  • Our current AMS subscription is ending.  Once our data is in GrowthZone, are we able go live right away? As long as your data is in production, payment gateway is set up, and all prerequisite items have been completed, you are able to utilize the software while still in onboarding.
  • What happens after Onboarding is complete?  Once you have graduated from onboarding, you’ll have continual access to assistance via our Knowledge Base, GrowthZone University, and our Customer Support team via email, chat and phone.
  • May I pause my onboarding project? You may pause your onboarding project; however, your software subscription fees will continue. In certain extenuating circumstances, GrowthZone will allow a customer to also pause subscription fees for up to 60 days during onboarding.  All setup and subscription fees will need to be repurchased if onboarding is not completed after this initial pause.
